We use for document management and we had files more than 2 million that needs to be stored and given access to employees. MS SharePoint is best software product that addresses your problem and gives customer delight. We use SQL for effective indexing, archiving and helps addresses the problem. I highly recommend MS SharePoint / SQL.

We use MS SharePoint to share documents and handle workflow options. We use SQL in our test and production environments. We use it for Acumatica (our ERP) and our client facing websites/billing.

Pros

  • SQL has come a long way in reliability and dependability. It allows large datasets and does really well with JSON.
  • MS SharePoint works well with sharing files and workflow

Cons

  • I honestly can't think of any. Maybe change control?

SharePoint is our central hub for collaboration and document management. It brings a new way of working eliminating the need of sending documents back and forth and easy way to access version history.

Pros

  • Enables secure document sharing with version control, automated approval workflows, and team-specific collaboration sites
  • Handles large-scale data storage and querying, supports real-time reporting through Power BI, and ensures centralized access to business-critical information

Cons

  • Navigation and search in sharepoint can be unintuitive, and customizing sites often requires more technical expertise
  • SQL can be really complex when it comes to performance tuning and advanced configuration

How we use: In different line of businesses with CBRE, we use MS SharePoint / SQL as a central repository to hold datafiles, or structured data in the form of MS SharePoint / SQL Lists. Business problem: Datafiles collaboration among users, Low code No Code Automation usecases developement. Scope of use cases: Most of the time they are financial processes.

Pros

  • Scalable: I like MS SharePoint / SQL as it comes with builtin scalability when concurrent users are reading or writing even a single file
  • Quick app development: Using MS SharePoint / SQL lists we can quickly spin up a web applications for general purpose specifically the ones that require users to collaborate
  • Integration: We have well documented API that provide us a way to quickly integrate them with any applications

Cons

  • Missing functionality: We dont any native options to deal with big data
  • Limited scope for customisation: We have very limited scope to customise the MS SharePoint / SQL as a whole, and that too requires you to be a full fledged developer
  • User exprience: There is a lot of room for ui/ux, such as there is no full list search option

Return on Investment

  • For use cases with limited audience we are able to spin up the solution in MS SharePoint / SQL in 1/8 time if we compare the solution in any other solution such as Power Apps etc
  • We were able to spin up approx 80 use cases mainly in finance that saved us around 45FTE
  • It really shines in the use cases that required collaboration

Use Cases and Deployment Scope

We use SharePoint Online. We use it primarily as a file storage system. We migrated our network shares located on-prem to SharePoint Online, so therefore, that is why we use SharePoint Online primarily as a file storage system. Also, we use OneDrive, which relies on SharePoint in the backend.

SharePoint Online gave us more storage space and was cheaper than expanding on-prem storage.

Pros

  • Easy to share with people internally
  • Easy to share with people externally
  • Integrates with Microsoft Teams
  • Allows end users to determine permissions to files instead of being centralized in IT

Cons

  • Hard to understand security controls sometimes
  • Hard to onboard and train end users
  • Not as easy to use files with existing applications as compared to having on-prem file shares

Return on Investment

  • Reduced burden on IT by enabling end users to share files across departments
  • Reduced storage requirement for on-prem hardware
