Lytho Workflow is a creative project management software built specifically for the needs of creative and marketing teams. Combining elements of task and workflow management with the collaborative features of online proofing, Lytho Workflow helps teams get more content produced - faster.

The key components of Lytho Workflow are Request Intake, Project Management, Review & Approval, and Reporting. From the initial creative brief, Lytho Workflow's request forms ensure designers have all the right information they need to kick off projects promptly. Project management offers features like task management, time tracking, Gantt charts, dependencies, notifications, and more. When designers have proofs ready, they can submit them for review directly from within Adobe CC.

Automatic proof routing ensures the right stakeholders provide feedback and approval at the right time. Team members can digitally mark up proofs, leave comments, use @mentioning, and compare versions, fostering collaboration and faster approval cycles overall. At any time during the project cycle, custom reporting provides insights and transparency on key productivity metrics. Save and share reports with team members for analysis.

Use Cases and Deployment Scope

Our marketing department uses Lytho for request intakes, project management, creative workflow, and online proofing. It keeps everything contained in one central location. It streamlines our creative process and job tracking. No more emails get lost in the shuffles. We use it to prioritize our work. We can assign multiple users to the same project. We love the real-time collaboration and all the specific annotation tools for marking up proofs.

  • Not being able to permanently delete inactive/old users (i.e. employees that are no longer with the company).
  • Search filtering features are lacking.
  • Not being notified when someone replies to my comment without @ mentioning me.

An Indispensable Tool

I use Lytho Workflow to proof ads with stakeholders and track my workload. On average, about 20 people at my company have to approve an ad before it can go live. Lytho Workflow makes it easy to see who has looked at the proof, what they would like changed and how many revisions it has gone through. We also lack a project manager, so the software enables me to track how many hours of work I've accepted each week, when jobs are due and what's required for each job.

Pros

  • Requests - Request forms are set up so that certain fields are required and there's a minimum turnaround time. This prevents others from submitting an incomplete request or requesting things last minute.
  • Proofing - Chasing after people to approve a proof is always a pain, but the simplicity of Lytho Workflow makes it less of a pain. I can quickly remind people in the route to review the proof by clicking a button.
  • Templates - I use templates so that a list of tasks is created for me when I accept a job. It also creates a timeline for when each task needs to be done.

Cons

  • Crashes - The workflow web page crashes very frequently and I've never been able to figure out what the cause is. Refreshing the page always fixes this issue.
  • Proof Approvals - I wish there was a way to remove all people from the route that have approved and resend to those who haven't. Reviewers who have already approved often do not want to see future proof revisions coming through their inbox. It would be nice to have this as an option, rather than having to create a new revision and manually removing all that have approved before sending.
  • A more personalized dashboard - My dashboard is more geared towards someone who is requesting or reviewing jobs, rather than someone who is completing them. As a result, I rarely use this page.

Return on Investment

  • I wasn't working for the company when they first started using Lytho Workflow workflow, so I can't say what impact it has had. However, I do see the product as a necessity in the fast-paced environment that is retail marketing. The introduction of the new "change request" feature has saved countless hours of miscommunication and confusion when project objectives change.

Use Cases and Deployment Scope

Our entire campus uses inMotion in some capacity. Most of the campus uses it to request projects from our department and review proofs online. It allows us to manage client requests, projects/tasks, and reviewer feedback on proofs. Our department uses it to manage everything from web graphics to course catalogs. It's incredibly helpful to be able to track everything in real time.

Pros

  • Project requests - can be tailored to fit your exact needs
  • Project management - can assign tasks, track time, etc.
  • Proofing - robust proofing environment that's easy for clients to learn

Cons

  • Some areas are rather clunky and repetitive when it comes to project management, like editing a template once applied.
  • Once a review is live, it's very difficult to edit the reviewers unless a current tier is active.
  • Pretty expensive compared to the competition.

Return on Investment

  • Consolidation of project requests has been extremely helpful.
  • The improvement of campus-wide communication is hard to put a price on.
  • Our team knows what is due and when at all times. We're saving a lot of time previously spent in meetings.
