Use Cases and Deployment Scope

We use Insightly CRM and Marketing module to streamline our sales and marketing processes and centralize all BD-related information in the same system. I'm part of the marketing group, and I use Insightly to build landing pages, generate lists, develop templates, send emails, etc. We are in the clinical research industry.

Pros

Prospect list.
Page layout.
Field creation.

Landing pages.
Report with data from different objects.
Conference management.
Campaign management.

Likelihood to Recommend

Insightly is very good for small-sized companies. We were very happy when we started with the system, but as our company grew, Insightly didn't evolve as much. We had some hiccups with journeys (you can't modify your journey once it is started). The landing page builder is not as modern as some other platforms. When you want to analyze your data, it is not easy to cross-reference if your data is coming from different objects (ex, linked reports). There are no AI components yet. The support is also very slow. Overall, the system is decent, but not mind-blowing.

Managing data in one place was the issue. Insightly has been able to fix that and present it in an easy to read manner. Being able to set up various views to manage and organise data has made life a lot easier for myself and the sales team at my company.

Well suited for the type of work we do and the interactions we have with clients. Tracks everything so when people are absent, easy to identify and pickup from where colleagues were before they were away sick. Being able to run various reports with custom filters is also very helpful for presenting data in an easy to ready way.

Use Cases and Deployment Scope

It is a powerful CRM platform, used for project handling and managing customer relationships to track leads and view their insights.

We have implemented it in order to get the analysis of what is going on in our company. So that we can improve our communications with the customer. Also to streamline the sales process, so that we can get the timely updates about the deal or campaign progress.

Also we sometime use it to send our emails to the customers so that they will be aware about our offers.

You should improve the email template by drag and drop feature

Likelihood to Recommend

If we compare with mailchimp the feature Insightly are less, making us to redirect to use mailchimp or marketing cloud from salesforce.

Its also has very less prebuilt templates for basic common use cases and also has very complex reporting structure. If provided the drag and drop feature it will be very helpful.

Also email integration like there are many issues finding track of the emails, like when its open and sent.

It is an integral part of our company, that let's us track all information for each project that everyone can contribute to. It solved our company's problem of keeping track of all the notes from the different departments to keep everyone updated on how the project is going.

My team uses Insightly to track leads and opportunities for existing clients. We have integrated Insightly with our CMS to automatically generate leads and apps based on actions taken by our users onsite.

Pros

I honestly can't think of anything that Insightly does exceptionally well, but the lead flow is the most intuitive and functional in terms of the functionalities.

Cons

Honestly, my predominant feedback is that the whole system is complicated to use and unintuitive.
If I had to narrow it down, I would change the system so the names don't match. We had dozens of records attached because it turns out more than one person can have the same name.
Make it easy to access & share information from record to record. I am constantly re-entering information.
Search doesnt work well, especially in the app. If I enter the email address associated with an opportunity, it doesn't find it.
I can't really accomplish much of anything in the app. Changing filters, bulk updating records. If this is possible, it's impossible to find the functionality.
I feel that Images in email templates are distorted.
Transfer of information between Insightly & Insightly marketing has been unreliable and unintuitive.
Bulk uploads of leads/contacts are extremely difficult. Why would I not be able to match on email? I have to upload a file, wait for the email that gives me the user's Insightly record ID, copy and paste that into a CSV, split text into columns to get the correct record ID, and then re-upload.
Because of the name matching, I find it's tough to identify and correct duplicate records.
Admin updates are hard to make-- I feel they are unintuitive to find where the record inputs are and where to update them.
No ability to send an email from a task.

My team manages vendor communication to over 3,000 accounts. We use Insightly to store our account data, automate tasking, and send marketing emails and sales pipelines.

Pros

Stores the data that we have manually entered.
The customer service team has been helpful with troubleshooting.

Cons

I feel a lot of the processes are overly complicated or require in-depth troubleshooting, specifically with App Connect.
In my opinion, Insightly is not intuitive. After being familiar with the gold-standard CRM, Salesforce, it's frustrating to use Unsightly, which feels far behind its technology.
Fields in organizations are not easily customizable, which creates a lot of friction.

Likelihood to Recommend

In my experience, Insightly is not an intuitive CRM. To integrate with the other systems used at my company it requires resources across the sales, production, engineering and analytics teams. Many of the functionality provided by Insightly CRM are cumbersome and inefficient.

We use Insightly to monitor our pipeline for future business and assign leads. Dashboards and reports are created through Insightly to monitor these. KPIs for sales reps are also tracked through dashboards. We also send marketing emails through Insightly to our prospects.

We also monitor activity from new sales reps by tracking tasks, notes, and emails.

Finally, we monitor the ROI on our trade shows and marketing campaigns.

We use the INS CRM tool to monitor the department's projects and pipelines and track their progress. We ensure that we use the INS CRM tool on every aspect of the technical, bookkeeping, admin, and tax teams. We keep track of the end users or customers who submit all their financial data to ensure they are correctly documented, stored, and kept safe. We use the tool to ensure no projects get left behind or fall into the cracks and develop new processes for proper streamlining. This tool is beneficial for centralizing all the firm's targets and KPIs. My only comment on the user interface is it is pretty basic and straightforward; it could use a different color palette.

Suitable for centralized project tracking, KPI monitoring, and process improvement. It makes the streamlining of the project more seamless and practical. Some tasks can be broken down for proper monitoring and closure for updates. It could be used as a central database of all the pertinent info or details from end users, customers, and minute details of the projects. It can be helpful to track all the progress that the team and the individual make. We can generate reports from it directly, be more agile, and get the needed KPIs.

My team uses Insightly to manage intellectual property licensing and training program management within our association management company. Doctors, researchers, students, and pharmaceutical companies submit permission/licensing request forms which are connected to Insightly. We use Insightly requests to manage each step in the licensing process. We also use Insightly projects to manage clinical trial training services.

Pros

Customizable objects and fields to meet our needs
Ability to connect our website forms to Insightly request records
Pipeline stages to track each step in the process
Linking contacts and organizations
Assigning tasks to other team members

Cons

The Inquiry feature is missing some functionality, so it is not as useful as the Request feature
The Actual Close Date does not autofill when a Request record is closed and marked as Lost/Abandoned
The customizable objects and fields are very useful but the System Settings interface could be more user-friendly

Insightly is very well suited to track steps in a particular process. It is also very easy to connect contacts, organizations, requests, and projects. It is great for storing data in a way that is easily referenced. It is a helpful tool for facilitating team collaboration. The connectivity to our website forms is also very useful. It is less appropriate for tracking financials as far as invoicing and payments.

Insightly was already leveraged by our sales team and in the past 3 years we adopted it as an operations tool. Data Driven analytics and visibility were a company priority. Because our teams are now using the same primary tool, we now can go to one place to review several different aspects of the business for several different teams.

Pros

Support>It feels like a partnership and support is a critical asset to consider when adopting new tools
Customization>The ability to customize with custom objects has allowed us to utilize Insightly in unique ways.
Customer Feedback>They very much are interested in soliciting client feedback when it comes to product planning.

Cons

Project object expansion>Adding more customizable/project management functionality to the project object would be beneficial
Custom objects have some limitations, would be great to have the same customization as you do with the standard objects
Enhancing the team/queue functionality would be great for large teams

Likelihood to Recommend

Insightly can be customized to hit on several business objectives even outside of the standard CRM tool. Operations and departments can create custom objects to better automate processes/communication internally. This would allow for data driven insight and reportable numbers via reports or dashboards.

While Insightly does offer a basic projects standard object, it needs some enhancing when it comes to managing larger projects.
