TrustRadius Insights for Insightly are summaries of user sentiment data from TrustRadius reviews and, when necessary, third party data sources.
Pros
Ease of Use: Users have praised the system for its simplicity in entering new contacts and effective tracking, making it user-friendly for various tasks such as managing leads, opportunities, and projects without complications.
Valuable Data Summaries: Reviewers have highlighted the availability of data summaries as a key feature that enhances their decision-making process and overall efficiency. These summaries allow users to quickly grasp important information and make informed choices.
Helpful Customer Support: Some users have found Insightly's staff to be supportive and helpful, particularly when dealing with customer service inquiries and technical support needs. The responsive assistance from Insightly representatives has been instrumental in resolving issues promptly for users.
We use Insightly as a sales tool to database and track interaction with our clients. Primarily we will use it for prospecting new clients as well as keeping on top of our existing clients. We also use it to track activity and sales across the company and then split out over each individual account manager.
Pros
The ability to set up filters to generate lists based on just the categories I am interested in.
It's integration with our sales data so we can see customer spending trends across multiple years and seasons.
The ability to circle back to previous email correspondence to refresh on past conversations with individual clients.
Cons
It would be good if clients would be auto updated if we have interacted with their card. Rather than having to manually check the date of "updated".
I find that when Insightly imports a new contact via the email tag being added, they will not come into the company with the company's field included, and that needs to be manually added.
For example if a new contact at Department of Health gets added they do not come in with an Industry: Government that their organisation has already.
When generating lists to export is is frustrating that you can only work with one page at a time. For instance you can not manually check all the clients on page 1 then move to page 2 to check some more to add to the list. It does not remember the ones from the previous page once you move to the next.

For what we use it for and the ease of use I am happy to recommend Insightly however I can appreciate that others may have more complex feature requirements than I use. As such I would mainly only recommend it to people who I feel would use it in a similar capacity to me.
All in all, Insightly is a solid CRM with a number of features to earn a recommendation, but there was definitely a learning curve. We've been using Insightly for a little over a year now, and overall, it’s been a reliable CRM that does what we need it to do. The biggest plus for us has been how well it integrates with tools like Gmail, Google Drive, and Slack. That’s made adoption across different departments a lot smoother.
The project management features built into the CRM are surprisingly helpful. It’s nice not having to switch between platforms to track deals and manage related tasks. The layout is clean, and once you get the hang of it, organizing pipelines and workflows becomes pretty intuitive. The two areas that it excels in is integration with the rest of our suite - this keeps us from bouncing from platform to platform which is definitely a time saver. The real bonus was the project management features which was especially useful in keeping all of us up to date on issues, resolutions, and rollouts. Kudos on that!
Pros
As mentioned, Insightly integrated with Google Suite so all of our communications, and especially our analytics and metrics, didn't miss a beat.
Slack integration was helpful too, as a number of tools I investigated prior to choosing Insightly, had third party apps used for integration. This is better than nothing, but Insightly's native integration was a real relief.
The project management feature was a life saver, not just for the DEV team, but also for the Sales team. This allowed us to skip service tickets and go right from us or a client, directly to DEV. The clients just got a much more personal touch and the turn around time was increased.
Cons
Once you are immersed in the platform, for all of its integration kudos, the platform became "intuitive" if that is the right word for it. There was some push back from staff on deployment.
The service and support team at Insightly was very responsive, but it seemed as if they had fielded similar complaints, and slower learning curves than we expected.
Unfortunately, while all has worked out nicely now and we are very happy with the platform, we had to have additional instruction time for all the staff during onboarding as workflows, dashboards, and pipelines were more time intensive than expected on the demo.
Likelihood to Recommend
I put 7/10 or 4/5 as a rating and recommendation for this platform but that may not be everyone's experience and the crack team of support staff had me feeling like the issues that we had would be smoothed out until refined for future clients. It could have just been our team, but the standout features were integration, clean layouts, project management made adoption across departments very smooth. One thing I didn't mention was the mobile app which we felt was not able to handle and deep work so our team used the desktop version almost exclusively. Unfortunately due to the type of data and amount of data, is something I have seen in other CRM mobile apps.
Managing data in one place was the issue. Insightly has been able to fix that and present it in an easy to read manner. Being able to set up various views to manage and organise data has made life a lot easier for myself and the sales team at my company.
Pros
Presents data
Emails
Integration
Cons
Reduce visual updates
More Ai inclusions
Likelihood to Recommend
Well suited for the type of work we do and the interactions we have with clients. Tracks everything so when people are absent, easy to identify and pickup from where colleagues were before they were away sick. Being able to run various reports with custom filters is also very helpful for presenting data in an easy to ready way.

My team uses Insightly to track leads and opportunities for existing clients. We have integrated Insightly with our CMS to automatically generate leads and apps based on actions taken by our users onsite.
Pros
I honestly can't think of anything that Insightly does exceptionally well, but the lead flow is the most intuitive and functional in terms of the functionalities.
Cons
Honestly, my predominant feedback is that the whole system is complicated to use and unintuitive.
If I had to narrow it down, I would change the system so the names don't match. We had dozens of records attached because it turns out more than one person can have the same name.
Make it easy to access & share information from record to record. I am constantly re-entering information.
Search doesnt work well, especially in the app. If I enter the email address associated with an opportunity, it doesn't find it.
I can't really accomplish much of anything in the app. Changing filters, bulk updating records. If this is possible, it's impossible to find the functionality.
I feel that Images in email templates are distorted.
Transfer of information between Insightly & Insightly marketing has been unreliable and unintuitive.
Bulk uploads of leads/contacts are extremely difficult. Why would I not be able to match on email? I have to upload a file, wait for the email that gives me the user's Insightly record ID, copy and paste that into a CSV, split text into columns to get the correct record ID, and then re-upload.
Because of the name matching, I find it's tough to identify and correct duplicate records.
Admin updates are hard to make-- I feel they are unintuitive to find where the record inputs are and where to update them.
No ability to send an email from a task.

I would not recommend Insightly.

We use Insightly as our CRM to manage our 10,000+ customers and prospects. The ability to add custom fields and tags really enhances our use. Also, one year ago, we added the Marketing services and love it. It replaced our use of MailChimp, and we're really satisfied.
Pros

Cons
Search feature needs improvement.

I use Insightly daily to manage my tasks, update client contact information, and to track opportunities. Insightly offers users from different departments the ability to pass work and opportunities throughout our enterprise. I also use Insightly for client prospecting, marketing, and e-mail.
Pros
Cost effective CRM solution
Tools to merge duplicate contacts and organizations in the CRM
Google Integration
Ability to customize for our enterprises
Cons
Robust phone integration
Need for a dedicated client prospecting module
Speed of automations
Likelihood to Recommend
Well suited for passing information within an organization and for a basic CRM. It is less effective if you need high levels of customization to meet your needs.
We use Insightly to manage and organize orders that come in on our website. I work in verifying eligibility for these orders to ensure insurance will cover the cost of the durable medical equipment (breast pump) the customer ordered. Without Insightly it would be challenging to organize the orders so we can most efficiently verify eligibility and get them shipped out to the customer in a timely manner.
Pros
Increase productivity.
Work from anywhere.
Assembles reports to more effectively verify eligibility.
Cons
It does not automatically populate NPI information when I confirm the HCP is in our database.
Unable to add multiple addresses for one HCP in the database.
When a customer enters their name as HCP, it does not recognize it and kicks it back.
Likelihood to Recommend
While there are a few things I would improve in the Health Care Providers database capabilities, overall it is extremely helpful in keeping a record of all providers so we can easily access them and add them to the order. This increases productivity by making it easier to verify eligibility, to ensure the breast pump the customer order will be covered under their insurance plan.

Insightly is an incredibly useful tool for managing international projects and opportunities as a CRM system. As a user, I appreciate the simplicity of the interface and how easy it is to customize and tailor the platform to our organization's needs. One of the most useful features of Insightly is the ability to track projects and opportunities across multiple teams and regions. The platform allows us to assign tasks, set reminders, and monitor progress in real-time, making collaboration across different time zones and languages seamless. Another standout feature is the ability to integrate with other software, such as Google Suite, which further streamlines our workflow and enhances productivity. Additionally, the platform's reporting and analytics tools are robust, providing valuable insights into our sales and project management processes. Overall, Insightly has been an invaluable tool for our organization, helping us to improve our efficiency and effectiveness when managing international projects and opportunities. If you're looking for a powerful and easy-to-use CRM system, I highly recommend giving Insightly a try.

Cons

Likelihood to Recommend
Insightly is particularly useful for project managers who need to monitor the progress of multiple projects simultaneously. Its customizable dashboards and reporting tools make it easy to keep track of timelines, budgets, and project status updates. On the other hand, Insightly may not be the best choice for smaller businesses with simpler project management needs. Its pricing model can be more expensive than other alternatives, and its features may not be fully utilized by organizations with less complex requirements. In summary, Insightly is a robust CRM system that is well-suited for businesses that require powerful project management and customer relationship tools. Its versatility, scalability, and reporting capabilities make it a top choice for medium to large organizations operating across different regions.

We use Insightly for managing Contact information, Organization information, working Opportunities, completing Projects, creating Quotes, sending Invoices via their QBO integration, sending documents via their PandaDoc integration, and automating processes via their Workato integration. There isn't a division within our company that doesn't use Insightly in some form or fashion. It is a very flexible CRM that can do just about anything. We even manage products within it.
Pros
Automation
End-User Page Layout
Administrator Features
Cons
Project Management
Instant Notifications within the app
More detailed record edit logging
Likelihood to Recommend
Insightly is well suited to automate tedious functions that a sales person would do day to day. It also excels at data integrity with it's robust permission levels that administrators can manipulate. These permissions can go all the way down to the field level. You can also use C# to set validation rules to prevent users from filling things out as you had intended. Insightly doesn't do so well when quoting which is surprising. You can create basic quotes but for additional cross-object functionality you will need to make a very technical merge document. This has pushed our company to look elsewhere for customizable Quotes. We plan to integrate it with Insightly via Workato.
