Use Cases and Deployment Scope

We use ClickUp for many things! We have a ClickUp form for promotional requests (project intake), which is where the majority of our work stems from. This makes it easy to turn requests into task lists and actionable workflows immediately. We use task lists and tasks to manage our daily work, establish priorities, and keep other departments updated on project progress. We use ClickUp documents for our meeting agendas, meeting notes, etc. This allows us to create tasks, communicate with other team members, and keep everything organized right from a single location. We also use ClickUp dashboards to monitor the team's workload, efficiency, and provide visibility to stakeholders on what our team is working on. We also have a wiki that is being used as a ClickUp Knowledge Base. This is a powerful tool for other departments in the organization to learn about ClickUp and quickly start using it. ClickUp is the BEST! It is so much more than a project management tool.

The communication tools inside of ClickUp help reduce emails
The ability to share ClickUp forms and documents with people outside of ClickUp is powerful
Unlimited file size for form attachments is amazing

Cons

I would LOVE to be able to nest folders within folders
The ability to create more than one Wiki would be great
The ability to set up an automation where a form is converted to a task list and have it carry over everything in the form (turned into tasks) would be amazing

I have worked with so many different project management platforms, and I honestly don't see a scenario where ClickUp would not be useful.

Use Cases and Deployment Scope

We use ClickUp to manage our project workflows starting from task assignments to timelines. It's used in team collaboration as well as documentation. It helps us to track progress and priorities and keep the projects aligned with their timeline. Before ClickUp we struggled with scattered tools mostly excel and there was no visibility into project status. No everything is centralized and easy to access. Our use span across multiple departments including product design, development, PMO and we even share it with client to have full visibility for them.

Pros

Easily create custom task statuses to match our process.
Link Tasks using dependencies or related tasks. Create subtasks where required.
Log hours directly into the tasks without needing any third party tools.
Use of comments, mentions to keep communication within task.

Cons

The mobile app lacks the smoothness and full functionality.
Sometime we get bombarded with notifications, clubbing of notification can be done.
Small glitches sometimes like task status not updating right away or filters not getting saved.

We found ClickUp a year ago when our company was looking for new all-in-one management tool for the operation process. We decided to go longterm with ClickUp after 2 weeks trial because it provide almost every tool our team need for daily works. We can quit Jira, Time Doctor, Confluence because ClickUp had all of them. Besides, the price is very compatible to other similar tool with the same features. With all-in-one solution, we just need to open 1 single app to start our work, it will save our time and device memory for other things. Thanks ClickUp Team for continuous development during the time. There is so much new features released and they are all good.

I want your team to improve the Priority feature where we can define more level of priority
Please improve the UI of the mobile app to make it easier and faster to use
The timesheet module is having lack features, please add more improvements on filtering, save reports, etc.

We use ClickUp as the central hub for everything in our business. It replaced random WhatsApp messages, scattered Google Docs, and messy to-do lists. Now, all our tasks, processes, and team communication live in one place. It’s not just for task management—we use it as a database too. Leases, tenants, customer onboarding, subscription tracking… even some personal stuff like project tracking and my scuba dive log live in ClickUp.

As our projects are strechted over a long period, we use ClickUp to keep a tab on current progress and open tasks. Also we write our documentation-log so we can quickly dust-off the project when it needs another sprint. Also we use it to write our Wiki on our organisation and processes.

It's a very comprehensive and customizable solution that would fit any project. Because of the customisability, it is sometimes hard to navigate and tailor to your own needs. As most project-management tools it takes time to learn and you have to be consistent in use to get the most out of it.

As a department developing projects for multiple clients. We needed to make sure that all resources were used correctly. That's why reports are critical for us. ClickUp fulfills this with many reports. With the guest user feature, we can invite our customers to the boards. With the chat feature, we can maintain internal communication without the need for Discord or Slack.

We can track resource utilization with time estimate and track feature.

Cons

As a department manager I would like to see summary reports.
The AI side needs a bit more development, I'm not sure if it can give us what we want. It's also very expensive.
Whiteboards are not yet powerful enough to replace Miro.

The biggest feature is that it has so many features that you don't really need other tools. They are also constantly improving the product.

ClickUp makes it possible for us to store all of our projects in a single location, and it is very simple to use. The user interface is very user friendly, and we are able to create, assign, and update tasks. It is a significant help in the progression of the project, and it provides real-time updates on the status of the project. The time tracking feature is wonderful, as it enables me to know where I spend my time.
