Use Cases and Deployment Scope

I work as a Content Manager in Higher Education. We exclusively use Box to upload and share photos, videos, graphics, and any other pertinent content for the College. This cloud-based solution allows us to share large files with minimal effort to a centralized location. Upon uploading, my team has full visibility into the uploaded content.

Pros

Box has a phenomenal storage limit and houses 80% of our total content in the cloud
Box has a strong search feature that allows for ease of use when attempting to locate content
Box is compatible across Mac devices (iPhone, Mac, iPad, etc.) and offers a seamless transition for me when switching devices

Cons

Box's UI/UX leaves a lot to be desired. In comparison to platforms like Google Drive, Box is much less user-friendly and certain functions (such as renaming a folder) feels cumbersome.
Uploading times on Box are slow. Box also lacks a progress bar that articulates in minutes how long the uploading process will take, therefore, it feels as if you are waiting FOREVER for large files to upload.
The "share link" features are limited and doesn't allow people with the link to upload content to the folder.

Box has its advantages. In working in higher education, it makes sense to have an enterprise-level content management solution that allows for full collaboration and visibility with the current content. Through Box, teams can upload large photo/video files and share them cross-functionally with a click of a button. Because the software is cloud-based, Box serves as a decent Digital Asset Management tool. Where Box needs assistance is its lack of infrastructure that could support massive content submission. For our use cases as a college, I would love to be able to create a Box folder link and send an email to our college community (students, alumni, faculty, etc.) that would allow everyone to upload relevant content. Ultimately, Box is a powerful storage solution that we use daily at the College.

Use Cases and Deployment Scope

Box is used to backup important day to day work files across the length of my coy [company]. I tend to think our use of Box within my coy [company], has improved productivity within my organization, especially in situations where employees need to collaborate remotely. In this kind of situation, Box ensures that we always have access to much needed work files, as long as we can connect to the internet. In select departments within my coy [company], like the marketing department where I work, Box is integrated with internal workflow process, thus resulting in the automation and faster completion of regular day to day simple yet effective tasks such as scheduling events, requesting file access, etc.

Box on web browser is not intuitive.
Box does not make it convenient to share files with non-Box users.

Likelihood to Recommend

In my own experience so far with Box, it is well suited for file storage activities, automation of basic day to day task, security of files ( our IT engineers regularly attest to the level of security within the Box platform) and integration with tools from other vendors for maximized productivity. These are some specific areas where Box does a fantastic job.

Use Cases and Deployment Scope

Box fulfilled communication needs and the ability to share multiple file types with project teams and vendors outside the company. Marketing teams access presentations and marketing collateral during meetings with clients without the need to download those materials ahead of time. Most times we are under pressure to gather numbers from a variety of sources and unite them into one document, Box helped us connect data from different sources, connect dots from region to region, and from device to device.

High mobile productivity and time-intensive document management
Constant communication with internal and external collaborators

Cons

It cost me a huge amount of time to group all the files and export the list
Some files did not display in alphanumerical order despite being numbered
Better to be sure of the exact location of a file to make searching of the file easy

Box is the perfect platform to enable secure collaboration even in mobile environments while integrating with existing applications. We deployed Box as the primary platform for managing and collaborating on content. Despite requiring more time to learn than other legacies on-premise content management solutions, Box enabled more efficient and secure access to content on desktops and mobile devices.

I use Box for file sharing and inviting other collaborators to create Word documents, spreadsheets, and presentations, as well as for collaborating on these documents in real-time. It is packed with oodles of features and options for file storage, syncing, and collaboration. Box backs up entire hard drives and systems. By simply clicking on files and folders then tabbing over to ''details'' I can view their sync status on my account.

High price tag for small businesses
Box notes are not quite as good as note-taking apps

Likelihood to Recommend

I can easily create and edit documents then assign a general or approval task to any file with comments. Three of its four plans come with unlimited storage, making it the only cloud storage service offering that much space. However, it can still be expensive for small businesses.

We primarily use the Box app for asset management with Clients who prefer to use this platform. We also use it for audio file storage and playback on training from within our organization.

I know it's not a primary focus, but using the Box app for audio playback can be a little finicky.

Likelihood to Recommend

Box is great for asset management. We have seen success with plenty of our clients and our implementation of it with them has not been difficult. Overall, the learning curve is very low. If you're looking to just store images, I would recommend a different cloud storage service.

Box was/is used at my organization. It was the tool we used with all file sharing, but then they transitioned over to SharePoint. I love Box and miss it. It's so easy to use, intuitive, quick, easy to organize, and requires no invitation or acceptance from the recipient.

Pros

Easy to use interface.
Good organization/structure.
Easy to share.

Cons

It might have been organizationally in our setup, but there was a way we had to add people within the organization without using up additional licenses (or something like that).

Likelihood to Recommend

Super easy to use with clients that are not technically savvy. Think Dropbox, but better suited for businesses and organizations.

Box is a very helpful file-sharing tool in our organization. It allows multiple depts and users to access files without worrying about file sizes and/or compressing files. The app can also be very helpful in the fact that team members can access documents from anywhere to reference at any time.

Box is used in some capacity by all employees. Some departments, such as Customer Service, use Box daily. Other departments (including my own in Marketing) only use Box every week or so.

Pros

Lots of storage.
Ability to share easily.
Easy user interface.

Cons

I’d like to see more pricing structures offered.

Box is very easy to use when it comes to uploading and sharing files. I’ve uploaded a number of different file types (PDF, JPG, INDD, RTF, MP3) with no issue. You can share just one file at a time, or you can share larger folders with an audience. We also change the settings sometimes so that certain audiences can view but not download the contents.

Use Cases and Deployment Scope

Box is being used across our entire organization, and it has helped our department immensely to keep everything organized and easy to access from anyone/anywhere. We're able to share links with people and they can access large files instantly, which helps to not bog down emails with large file sizes. The use of Box Sync or Box Drive allows you to work on files directly in the cloud, so you don't have to continuously re-download the same file if someone else edits it. We even use Box to archive our finished projects, so we can access them in future years to update.

Pros

Ease of sharing - extremely important when multiple people/departments are working on the same project.
Ease of access - Box can be accessed via the web or by the cloud (Box Sync, Box Drive) so you can access your files even on computers you don't regularly use.

Cons

Occasional outages - sometimes there are blips in the system and the website version cannot be accessed, but this is usually resolved in an hour.
Photos don't display metadata - when we considered using Box to primarily store all our photos, we had to go with another separate product for photos because of the lack of metadata searchability. You can add keywords in box, but when a photo already has that information it's a shame it doesn't integrate it to search easier.

Likelihood to Recommend

Box is fantastic if you want to work on a file from multiple computers. You can use a work computer to start, go home and finish on your home computer - and if you have the cloud apps you don't even have to download the files each time. You can work directly in the cloud and the file is automatically updated across all devices.

Box is not well suited for Digital Asset Management. Searching for photos only works if your search terms are in the title of the image, and it doesn't allow for searching in the metadata/keywords/description.

Use Cases and Deployment Scope

Our company uses Box across the entire organization as our primary file storage and file sharing service. Box makes it easy to access, share, and backup files because everything is securely stored in the cloud. Previously we all used external hard drives which was not as reliable and from an organizational standpoint not secure and not effective.

Pros

Box Sync. This is my favorite feature because I can keep all my design files locally on my computer so they are quick to open and save, but also automatically synced to Box so I don't have to manually upload them or back them up.
Sharing Permissions. I like the level of sharing permissions that allow us to change shared links between people in our company only, or those with the link. Additionally the sharing permissions for folders is simple and allows me to share only what it needed with specific co-workers instead of sharing everything, which I don't want.

Cons

Box Sync for External Hard Drives. I keep all my local design files on an external running hard drive and use that drive as my default Box folder. By design, this is not how Box is configured to work or wants to work. It took me awhile to get it to work, but I do lose some features. It would be nice if Box could consider updating Box Sync to also work fully with external drives.

Likelihood to Recommend

Box has become a part of my everyday work life and I rely on it to perform my job, so I definitely recommend it to others that need cloud file storage. I've used Dropbox for Business and Google Drive for personal use and I think the Box is the best out of those for business use. I wasn't involved in purchasing so I'm not aware of the cost, but if it's affordable it's a no-brainer for any size business.
