The best scenario [is] that it has [a] particular object which can directly store the records of the client [who] has purchased the policy and practitioner details with [their] expertise. The users can directly book the appointment using LWC or Aura components which can be exposed on websites. The object will be linked with each other [using] a lookup relation which creates a complete framework to handle the cases and details of the clients, [their] policies, and other details as well. Booking or finding a practitioner can be done with the [Salesforce] Health Cloud app where it can use [your] current location and provide details of [available] nearby doctors. Health Cloud supports live agent as well where a user can get the details on his insurance policy and get other help if he need from the chat option with live agent.

In my experience, problems with them adding incorrect fees to pad their bills coupled with their unethical business practices such as locking you out from accessing your EMR at the drop of a hat prevent me from recommending Kareo to any practice. Reliability is paramount. Kareo's use of unethical business practices (locking you out from your EMR or disabling your EMR all together) can result in a physician being sanctioned by the medical board (inappropriate medical record keeping) or financially destroy a small practice leaving them with NO ACCESS to their ERAs/patient billing accounts etc leads me to NOT reccomend their products or doing business with them.

  • [There] are particular objects such as person accounts which [are] linked with [health care company accounts if they have a policy].
  • We have flows and pages where a user or client can book [their] appointment with a practitioner and get instant help by raising a case or request for [an] appointment.
  • [Salesforce] Health Cloud keeps all the records of clients and practitioners and can link them when and where ever needed.
  • Objects in the managed package have [a] standard field which gives a perfect solution with out-of-the-box functionality without creating such a model or structure.
  • We can raise cases or requests and [use] automation tools like flows [so] the case will be assigned to [a] practitioner or the queue of the user.

  • Kareo stays up to date on insurance changes which allow for smooth transitions.
  • Kareo asks for feedback and has a place to go and request changes or additions that would make our job easier.
  • I love that you can submit a help ticket or call, if you prefer, with any questions or problems that you may have. They are always very prompt with their follow up.

Cons
  • integration with Epic was close to impossible
  • buy-in from IT to support a system on Epic was not keen to work with decreased our ability to function in the way we expected
  • lack of knowing this integration challenge prior

  • Kareo support is not the most timely. I have to wait far longer too many days than I should when the occasional problem arises.
  • Kareo does not have a connection with one certain clearing house (Jopari )that would make me able to submit some additional claims electronically.
  • Kareo used to have the ability to have an expected amount for each insurance in a table that let me know instantly if one particular payment paid less than expected. They took away that tool.

Usability
The software offers a wide range of functionality, which I truly appreciate. However, there is so much there that a lot of drilling into information can be required. This can create a significant learning curve for new users.

Kareo Medical Billing is very user friendly and the support they provide allows users to get their questions answered quickly and efficiently. The wait time to receive help is usually pretty good and most of the time we can ger our questions answered. We have found that is the tech help is unable to answer our question, they will attempt to find a colleague who is able to help!

Alternatives Considered
We also evaluated Epic's system called Cheers. Salesforce is much better organized and easy to use. Cheers had some major weaknesses.

Lackluster...at best? I have no words, honestly other than I was charged 5K up front for a one year subscription and I still can't receive refill requests or send labs directly. It's been a nightmare, from beginning to current. Currently attempting to just get out of my contract altogether-

Return on Investment
  • The process of implementation allowed us to better see our data downfalls in our parent EMR system and find ways around it
  • Reporting and dashboards allowed us to see the impact of marketing efforts as it related to appointments made
  • campaign features allowed us to see which campaigns related to which personas

  • Kareo had an overall low return on investment.
  • Despite the software being active at our company, we were forced to transition to a different solution within 6-months of implementation.
  • The time spent attempting to reconcile the system to itself was rather wasteful.
