Very likely to use it. It gives you the comfort that all the files are being stored in [the] same places from different team members. It is easy to organize in folders and also very useful by adding time stamps. [With] an easy setup u can have and box extension installed on your laptop and use it directly. So you can sync files easily.

Great if your field requires copious amounts of paperwork, and you want to get rid of the clutter and stress of dealing with physical paperwork. With the size of our organization (about 8 people), we were borderline on whether the cost would be worthwhile, but even for our group we've found the enhanced workflow and eSignature function to be very valuable. I would think for groups smaller than ours the cost would likely not be worth it.

Pros
  • The main feature that I like the most in Box is that it makes collaboration seamless, workers can easily check the documents any time and make changes according to the needs.
  • Box manages and backs up all of your files on its cloud servers, and provides a very nice interface for creating, viewing, editing, and collaborating on the most commonly used file types (PDF, XLS, DOC, etc.).
  • Over the past few years, Box has built on top of its basic cloud storage management with a host of other tools, such as workflows, AI, monitoring, and analytics.
  • It is helping us to make good connections with clients and our workers themselves as to its syncing and viewing feature to all is very much helpful and easy to go.

  • The ability to set restrictions on documents sent out or stored in the system is one great strong suit of eFileCabinet.
  • It gives us the confidence that our documents are safe.
  • eFileCabinet has excellent technical support. When needed, I can call or email them and the problem is usually solved in that moment or that day. They have also worked directly with our IT Support Service to get things set up on our server.
  • The search features are frequently used by me. You can limit where the search takes place, and even search within a search to narrow down your results. The side panel lets you preview the documents as well so most often I don't even need to fully open a document to get the information I need.

  • The graphic design of the dashboard should be simpler and more tangible that can be changed to the liking of the Admin.
  • Sometimes there are some syncing issues in the background.
  • The product has very limited functionality in some areas which could be a bit frustrating at times.

  • eFileCabinet's sidekick app can sometimes stop working on the printer side with Windows updates. It's getting better and less problematic, but it would be nice for support to push out notices to the customers when they know they have bugs in the software.
  • The sidekick app would be nice if it had a "full size mode" and the "smaller / simple mode" so that you don't have to run the browser and sidekick together. This is confusing for our users as they might want the advanced functionality of the website browser efilecabinet instead of the minimal sidekick app.
  • Have auto refresh on sidekick and the browser so that if you make changes in the browser eFileCabinet, the sidekick will update automatically. This is very confusing for our users and should be an included feature in 2019.
  • Mac Sidekick App shouldn't be in beta after 2-3 years. This is sad to see :(

As I've stated Box is very easy to use and to set up. The documentation provided by Box is easy to follow and the interface is designed in a way that makes sense. With only a few limitations on the administrator side the system is fully capable to get the job done for our company

We do not have any issues with eFile Cabinet. It has become just part of our daily life - finish files and projects and save all the documentation here. Need to research? Find it in eFile. I personally cannot imagine my job without it.

Usability
I think I can only describe it as excellent. All aspects of Box work without problem, quickly and efficiently. The file upload and download systems are quite fast, the process of access from different platforms is carried out without problems, so far no document has been generated in conflicts or unexpected copies, or any type of error.

eFileCabinet gets the job done and is fairly easy to use once you find a few workarounds and understand how the software works. Using the browser interface next to the desktop sidekick app is needed when it should all be included in a single app. Users always wonder "why do I have to open both the browser and the sidekick interfaces to do a simple task". Basically one does what the other doesn't do and Sidekick is needing to be open regardless for the printer/scanner upload functions, but is limited on what you can do compared to the browser interface. The mac Sidekick is still in beta and makes me wonder how much longer it will be supported or updated...

Yeah, it's always worked, I've never had any kind of connection issues, the only issues I've had it I've been on our end when the Internet hasn't worked.

Performance
It's performance is great. Everything loads as soon as you open a page. The same goes for the local file application, if is just like going through folders on a native "My Computer" or "Finder" folder. The integration into other softwares is also fantastic, as Box keeps them all running smoothly and quickly

The software loads very quickly, their servers are great. The software can be a tad buggy or quirky at times but it gets the job done which is why it's an 8 out of 10 rating. Their desktop printer and scanner software could use an update so that windows updates don't break it from time to time too.

Support Rating
I found their support community lacking in clarity when I experienced a login issue. The error messaging was poor on my Box Sync application. I did not reach out to support staff for help, instead, I reasoned that I should try downloading the Box Sync application again and reinstall it. That fixed my issue, thankfully. I think a less computer-savvy user would've been much more frustrated.

It makes workflow so much easier, including the ability to save in the cloud makes it accessible from anywhere. I save very little on our server now which means this also makes filing more secure. I literally save and research via the platform several times a day.

Online Training
The documentation is good. Since Box is a popular service, there were also a number of YouTube videos and other sources that were helpful as we were considering the product and planning for deployment. Also, the ability to try the free version helped to prepare us.

Implementation Rating
Be careful with settings. It is easy to get overwhelmed with updates. For example, you don’t want to be updated when doing historical data uploads. I recommend taking off notifications initially and then turn on post you have done your historical data upload.

Alternatives Considered
I slightly prefer Box over Dropbox, especially if I need to store and manage thousands of files. Dropbox online file management was not as easy to navigate as Box. However, Dropbox also has a similar cloud sync feature that worked similar to Box and was pretty comparable to the Box feature. The main reason my team switched to Box was because our organization provided it at no cost to our team, whereas for Dropbox we had to use our own research grant money to pay for it.

eFileCabinet is much better of a digital document solution than a file storage solution like Dropbox Business or Box.com. It is more secure, it is more friendlier to use for documents as it's viewed as file cabinets and file cabinet drawers and individual folders that contain the files. This makes it easy for your departments to convert over to a digital paperless solution easier. Thomson Reuters is in a different league and is much more expensive but does what eFileCabinet doesn't, in my previous references of missing software features, buggy software, and learning curves, but overall we use eFileCabinet because it's ROI and value is just that much better for us.

Return on Investment
  • Box has been an only positive experience. It provides a seamless way for me and my team to collaborate on documents in such a way where we're not sending the document back/forth via email. It's a huge timesaver.
  • Box reduces the risk of sharing a sensitive document to the wrong person via email.
  • Box has provided a platform where my team can share notes in meetings - this has helped streamline and organize our meetings. Our meetings are more productive and actionable.

  • Pricing is budget friendly.
  • Pay only for the number of users you need. I needed 2, so I pay for 2. Other DMS programs come with up to 5 users and charge accordingly. This gives me the flexibility to grow my business at my rate - not someone else's.
