Epic is very good on the medical side and continues improving mental health and dental care. Having integrated telehealth via Zoom was a game-changer. During COVID, it was vital to have telehealth options and to ensure it was completely HIPAA Compliant and easy to document inside their health record.

Smaller doctor or dental offices would be fine using Office Ally for patient visits and appointments; it's easy to use and learn, and I'm able to handle most needs with it. For a larger practice, there are better, more technologically advanced software products that would offer more streamlined and professional statements, schedules, and accounting needs.

  • There needs to be a way to print patient visit summaries for a date range vs printing one summary for each appointment, one at a time.
  • It would be helpful if the top row of the calendar, showing doctors/practitioners names, would remain on the screen when scrolling to the end of the day. Appointments get scheduled under the wrong doctor at times because the names disappear and columns get confused.
  • There should be a way to view/print/download what has been paid, per patient, to the office in one place vs searching for payments under the Accounting Tab and payments tracked under Patient visits.

Usability
My organization has been using the Epic platform for 10 years and counting! Epic has continuously improved and updated the system to align with current best practices and meet the needs of members and their patients. As an FQHC, we provide medical, dental, and mental health services, and it is essential to have access to all the patients' health information in one place. Integrating Care Everywhere and Telehealth options embedded directly in the EHR has greatly improved our ability to take the best care of each patient who walks through our doors.

Support Rating
A dedicated support staff for each module/area is provided by Epic. This is beneficial for points of contact, however, not all support staff are created equal, and there seems to be high turnover in these roles(staff seems to turn over every 1-2 years). This can make it challenging for continuity and quick support resolution as new staff are not as familiar with organization-specific needs, environments, and/or questions.

I haven't had to call too many times to get help with Office Ally but when I have had to call, I haven't always had the best customer service. It seems that I am bugging the person I reach when I call for technical support because I'm usually reminded that there are videos to watch for technical support help. On the flip side, there have been times that I called for help and was treated how you assume you'll be treated when you call for help - with grace, dignity, professionalism, and respect.

Alternatives Considered
Epic has more features and seems to be used by most hospital systems, which means information can be shared between systems. It is not compatible with Cerner, McKesson, or any other of the less commonly used products and we cannot view information from such facilities. I believe Epic has the most features. It automatically saves entries, unlike Quadrimed, for example, which does not save and if you accidentally get logged out you lose your information.

I used to use Best Notes. Best Notes was difficult to navigate and very inflexible. We used it in the early time of EHR/EMR, so that the software was not very useful. When I changed to Office Ally, we are so delighted to change it because again it is easily to navigate the software. There is minimum of learning curve than other software.

Return on Investment
  • Improved Customer Satisfaction: After the initial implementation phase, I have seen increases in patient satisfaction. This is due to the increased transparency regarding their care as well as an increase in paid claims.
  • Increased Revenue: In some cases I have seen Medicare denial rates drop from high 80's and 90's down to single digits. I have seen incredible jumps in the time payment is received from an approved claim.

  • We are able to have appointments clearly scheduled weeks and months ahead of time so we save money by knowing when to have doctors come in or work elsewhere - we aren't having to pay a doctor to be here when there aren't patients scheduled.
  • We are able to pay doctors based on the number of office visits they have had with patients vs having to pay a base salary for a doctor even if they did not see any patients.
