UKG Dimensions provides an extensive feature offering for advanced scheduling in non-procedural clinical settings and administrative operations. Although EZ-Call can be used for procedural areas the lack of out the box integration with [UKG] Dimensions creates an undesirable experience for departments needing both products. UKG [Dimensions] can increase customer adoption by offering a more integrated experience for clinical settings requiring both products.

Pros
  • It has some really nice scheduling features that allow managers to see the difference between hours expected to work and actual hours worked as well as overtime, absences, and non-scheduled shifts.
  • There are easy ways you can transfer a manager's caseload/employees to another manager temporarily if that person is going to be out of the office for an extended period of time without giving away too much personal information - just what would be needed for payroll or time off requests (this can be customized by your administrator).
  • The program itself can be customized in many different ways to meet the needs of the company/organization that it is working with.
  • The charts/graphs on the new homepage are somewhat helpful and link to useful information.

  • The level of granularity on FAPs is very helpful for configuring access compared to other platforms

  • Integrations need to be more accessible to the administration and more flexible in change adoption.
  • Performance Reviews need to be flexible on the cycles. We don't offer PR all on one focal date. We review employees on their anniversary dates.
  • Attendance Tracking needs to deliver more real-time notifications and correct itself real-time when exceptions or incidents are fixed.

The overall satisfaction within the organization has been luke warm, at best. The software may be more conducive for a hospital but I believe there is a reason why we are the lone baseball team utilizing it.

Usability
On the employee's side of things, Novatime is pretty intuitive and fairly easy to use. All they have to do is either press a button to punch in or punch out. If they are entering in their hours, all they have to do is type in the number of hours per day. On the manager's side of things, Novatime is also fairly easy to use. It highlights in red any missed punches and in green any OT that the employee has. There are links on the homepage of the manager's page that will lead them to a list of all their employees' missed punches for a pay period and they can fix them all before payroll is due. Novatime becomes a bit more complicated on the administrator's side. The issues I have run into with Novatime normally come after updates/upgrades to their system. They have been getting better, but the administrator's side is still a bit clunky and takes a while to find what you are looking for. It is not as intuitive as the other sides and takes a bit of computer knowledge to figure it out.

UKG Dimensions is very user-friendly from an employee and supervisor standpoint. It is very robust on an admin level and can get complicated; however, you can do so many things with it that is outweighs the complexity. The security for UKG Dimensions needs to be revamped however. It is very cumbersome and not user-friendly.

  • Kronos Workforce Dimensions a new product, and it has a lot of scope for improvement, with future releases. One of the best tools to perform time tracking.
  • Their support team is very knowledgeable, and their SLA's are pretty tight. Any query raised would be addressed in a few hours.
  • Timeclock configuration can be complicated; however, their support team knows the processes and guidelines.

Alternatives Considered
They actually ended up joining forces to make one platform for all timekeeping solutions. With Novatime and all other modules we have from Ascentis, everything flows very easily.

WorkForce Software has a solid foundation for enterprise scaled employee counts of 100,000 employees and supports multiple assignment configurations, i.e. one employee can have multiple timesheets that multiple managers can own. UKG has one employee to one timecard. It makes it hard for companies that have employees that can have multiple jobs within the organization that can have separate timecards that report to multiple managers. UKG works well for medium size employee counts, once over 10K employees, you start to see the system have performance issues. WorkForce was able to handle 80K employees and process an employee demographic file in 2 hours, while UKG with 26K employees takes 6 hours. WorkForce lacks end-user configuration documentation, while UKG has great documentation and training materials. UKG's user community is top-notch, while WorkForce's has before 3 years, there has been no improvement. UKG has a better support model for end-user support. Workforce provides database access and the ability to write javascript for integrations. UKG has no access to the database and uses APIs that are not [flexible] to retrieve data. End-user configuration for UKG does not require a programmer or IT professional, while WorkForce has a powerful rules engine policy editor that makes it highly [flexible].

  • We have had a few scenarios where the PTO accrual dropped off and it did take 3 attempts of reaching out to customer service to get it sorted.
  • The customer service team has collaborated with me in creating new PTO categories to automate certain needs to save me some time.

  • Employee can now pickup open shift without us calling them
  • Employees can request PTO from the Web and mobile app without email and manual time entry
  • We are still constantly struggling and dealing with scheduling employees with multiple jobs
  • Without a working business structure automation, we are spending much more time dealing with department and job changes on the business structure
