When Digital Guardian works well, it really is fairly seamless. You may notice a tiny bit of additional lag on some programs, but for the most part, when it functions properly, it's fairly unobtrusive. Therein lies the rub...when it functions properly. We had frequent program conflicts with Digital Guardian. We had one issue that caused Digital Guardian to completely cripple Microsoft Outlook, and similarly cripple Microsoft Excel. It took Digital Guardian weeks to even release any kind of fix for the issue, and the first several fixes did not, in fact, resolve the issue. We ended up having to completely remove it from our environment and are still waiting for a confirmed more stable version, as it simply caused far too much disruption to our user base, and also consumed an extremely large amount of time from our admins dealing with user issues related to these problems.

Zix integrates well with Google Workspace to work seamlessly and behind the scenes. Whole message encryption (including attachments) can be programmed with a keyword or phrase in the subject line. Our staff finds that relatively easy to do. Plus, if our staff forget to add the keyword to encrypt the message, all messages are scanned for sensitive information and encrypted anyway. Great safeguard!

Pros
  • Email data leaks - DLP software must prevent certain actions to work well. Let's say you try to copy and paste an SS # to an email, or upload sensitive data to your personal email account. Guardian Edge can prevent that, and then alert administrators that it happened
  • Unauthorized file copies - Guardian Edge can also prevent users from copying files from a sensitive restricted area to somewhere else where they might be able to more easily exfiltrate it. A good example would be from a company file share to a less secure server or their own home drive
  • Alerting Administrators of suspicious activities - Any time a user uploads a file to an upload service or personal email, it is logged and reported as an event to be reviewed. If it found nothing in scanning the data, it will still notify you that it happened so you can review it yourself to confirm it wasn't a false negative.

  • Zix scans outbound emails for personal financial information and encrypts accordingly.
  • Zix scans outbound emails for health information and encrypts accordingly.
  • Zix has an easy end-user interface enabling users to release false-positive encrypted emails without encryption and requiring the end-user to leave an explanation for why the email was released without encryption, therefore, leaving an audit trail.
  • Zix was very easy to implement on our email domain with a few clicks of the mouse.

Cons
  • Digital Guardian is perfect in database protection, hence, no complaint.
  • Digital Guardian makes the detection process effective, hence, reliable.
  • Finally, Digital Guardian is cloud focused or delivered, hence, concrete and efficient.

  • More flexibility to customize lexicon libraries at individual business units without having to apply that customization across all customers. We have some agencies that don't send HIPAA data for example but they do send healthcare terms related to Public Health aggregated data and it's difficult to apply customized exclusions or rules in Zix's current state.
  • Scaling across large, complex organizations is difficult with Zix because of the one size fits all approach that Zix takes. We are an IT service organization that serves 17 executive branch state agencies each with unique business requirements. As currently designed, we would need to have 17 different instances of Zix to accomplish the level of customization that each agency would like to have so it's a balancing act in serving the greatest number of customers with "One Size Fits All" service and realizing that no one is completely happy with the service provided due to the platform constraints.

Zix is a great product, and it just works. There are rules in place to ensure that all email sent is safe and secure. With Zix in place, I feel confident that email is secured which means the organization is secured. If left up to me we will continue to use Zix.

Usability
No answers on this topic
Zix is very easy for the user. In fact, it can be completely transparent to the end-user if you so desire. However, it does take a some work and testing to get everything set up just right initially. It isn't so much that the system is difficult to administer as much as it is that you have to really know what you want.

Reliability and Availability
No answers on this topic
The availability of Zix has been very good. We have never had an outage due to an issue with the Zix portal or service. They plan their upgrades for off hours and do a good job of communicating any planned upgrades or outages well in advance. Zix has always been available when we need it.

there is no lag in transferring large encrypted documents. Real Estate transactions are horribly time sensitive and stressful. Zix performs flawlessly. It is always there, always responds without delay. It is probably dark magic.

Support Rating

I give it the high rating due to the fact support will be rarely needed. Zix documentation is pretty solid, clear, and helpful. When contacted, Zix did a good job in resolving the issues and we were able to move forward without any issues on the zix side. The app is easy to use, and again requires little support.

The training is very thorough and well individualized for our application. It was done online with the trainer on telephone.I felt that they were truly interested in my success, and provided resources for follow up. The trainer was easily understood with thorough knowledge of the product and giving helpful advice for implementation.

Online Training

The online training we received from Zix was very good. They did a good job of walking us through the entire setup process and also provided good documentation as a reference. It was valuable because we worked directly with our configuration and portal during the training. We weren't just working with a hypothetical example.

The implementation of the Webroot Advanced Email Encryption was really pretty easy and did not run into any major issues at all. The documentation could have been a bit clearer and the support a bit more responsive, but again, there were no real issues for us when we implemented it for our clients.

When purchasing it was important to implement a product that had a solid reputation. Many of the companies we receive records from use Zix so there was familiarity. The product had to be easy to use and the implementation had to have little or no impact on the users. Zix met all these requirements so we decided to move forward with Zix.

  • Having encrypted email shows to our members and potential members that we are sophisticated enough to know what is necessary to protect their sensitive data.
  • The only negative impact is that sometimes when we are sending emails to other businesses, they are blocked from going to an encrypted email site. That is very frustrating.
